We work like a colleague, not a corporation. No onboarding portal, no six contacts, no slide deck. Every step is a phone call or an email — and at the end you honestly know whether it fits.

    First call

    30 minutes, by phone or video. We listen to how your practice runs today. No sales pitch, no demo — just the honest question: does AI make sense for you or not?

  2. II Day 2–4

    Analysis & offer

    We look at your call patterns (with a trial run if you want) and prepare a concrete offer. No flat-fees, no hidden licence costs.

  3. III Day 5–7

    Setup

    We train the assistant on your practice's voice, your opening hours, your exceptions. You test it — as often and as long as you want.

  4. IV Day 8+

    Going live

    We switch the assistant on in parallel to your reception. Every week you decide how much responsibility it takes over. Cancellation period: one month.

We handle patient data the way Austrian law requires for special categories of personal data — including a signed Data Processing Agreement under Art. 28 GDPR.

Encryption & retention

Transport encrypted via TLS 1.3, storage encrypted at the infrastructure level. Retention periods for call transcripts are set with you before go-live — and enforced technically, not just promised.

No third-party tracking

No analytics cookies, no Google pixel, no ad networks. The infrastructure is built so that third parties have no systemic access to practice data.

The full Data Processing Agreement (DPA) is signed before each project start and is available as a PDF on request ahead of the first call.

Seven questions that come up in almost every first call — and our direct answers, the way we would give them on the phone.

01 Will the AI replace my receptionist?

No. The AI handles repeating calls (bookings, prescriptions, common questions). Your staff is then free for everything that needs a human: empathy, triage, difficult conversations. In every conversation with practices that reach out, we hear the same thing: nobody wants to cut staff, everyone wants to take load off their team. That's exactly what this system is built for.

02 What happens in a medical emergency on the phone?

The assistant recognises emergency keywords within the first seconds and routes the call immediately to a number you define — usually the direct line of the on-duty doctor. The emergency detection protocols are defined together with you before going live.

03 How safe is patient data?

The infrastructure runs on EU servers — hosting in Frankfurt, email via EU providers, no data transfer to the USA. Transport encrypted via TLS 1.3, storage encrypted at the infrastructure level. A Data Processing Agreement under Art. 28 GDPR is signed before project start. No analytics, no tracking, no third-party pixels.

04 What does it cost?

The monthly price is transparent and built from four items: voice infrastructure (billed per minute), language model usage, phone number, and ongoing support including fallback readiness. What that adds up to for your practice depends mainly on your call volume — which is why we don't quote catalogue prices. In the first call you get a concrete number based on your actual volume, as a written fixed-price offer.

05 What if I'm not happy after three months?

Then we switch it off. Our notice period is one month to the end of the month. No two-year minimum, no setup fee that holds you hostage. If Ventrax doesn't fit your practice, we'd rather know after three months than after two years.

06 What happens if the system has an outage?

Honest answer: at some point something will fail — every technical system has that. That's why the fallback is built in, not retrofitted. First level: if the assistant fails to understand a call twice, it routes automatically to a number you define. Second level: if our service itself is unreachable, a forwarding at the telecom level takes over — your phone rings, just like today when the practice can't answer. Third level: your configuration is documented and belongs to you. Even if Ventrax were gone, another provider could keep the system running. So the worst case is no worse than a normal Monday morning in a busy practice.

07 Can I hear the assistant before I sign?

Yes. In the first call we show you a live demo assistant — with your own example questions and your specific practice situation. You hear how it sounds, how fast it reacts, and where its limits are, before we talk about pricing.
